SMBC staff to open and close the facility and remain on site during the event.
All other items (ie. Catering, dishes, linens, equipment, decorations, bar service, sound system/DJ etc.) are the responsibility of the renter, including set up and take down. We kindly ask that you leave the facility in the same condition you found it.
When is the facility available for rental?
The hall is available for rental when programs are not scheduled. Evening banquet/reception renters can access the building at 12 noon, on the day of their rental. All rentals must end at midnight.
What are the fees?
Full Day Rental: $795.61
Conference Rates: $70.00/hr; $560/full day
Evening/Weekends: $140/hr
Non-Profit Groups: Half price rental fees for alcohol-free events held on Sundays or Wednesday evenings only.
Booking Fee: $28.75
SOCAN Fee: $66.86 dance;$33.40 no dance (All prices include HST)
A typical Saturday booking is 6:00pm-12:00midnight (building access 12noon). $700.00 rental fee + $28.75 booking fee + $66.86 SOCAN dance fee =$795.61
In addition to the rental fees, a security deposit of $300.00 is required for all rentals. The deposit will be refunded in full provided that no damage is done to the facility or its property during your rental and that all guide lines detailed are respected. Please allow 2-3 weeks for processing.
What is SOCAN?
SOCAN is the Society of Composers, Authors and Music Publishers of Canada. Their role is to licence the public performance of recorded music in return for performing rights fees. These fees are then distributed as royalties to copyright owners based on the performance of their musical works in Canada. SOCAN fees collected by the St. Mary's Boat Club are passed on in full to SOCAN. For more information, contact SOCAN at 1-800-55-SOCAN.
ALCOHOL:
If alcohol will be served at your function, you will need to obtain a Special Occasions Liquor License. Included with your rental contract will be a letter from the St. Mary’s Boat Club confirming your booking, which you are required to bring to: Nova Scotia Alcohol & Gaming Authority, 40 Alderney Drive (5th Floor), Dartmouth. Phone: (902) 424-6160. Please allow approximately three to five days for the license to be processed. A copy of the license must be posted during your rental.
ACCESSIBILITY:
The Upper Deck (hall, washrooms, kitchen) are wheelchair accessible.
BUILDING SUPERVISION:
A staff member will be on site for the duration of your rental, and has been delegated certain tasks by the facility manager. Please respect his/her instructions. Any questions or problems can be directed to the building supervisor.
DECORATIONS:
Decorations should be limited to tables and the floor as the use of confetti, tape, nails, tacks or staples is prohibited. Please use existing hooks in arches and rafters. Candles must be enclosed in glass.
LOWER DECK/ BOAT HOUSE:
Guests are not permitted in the boat house (downstairs) or on the lower decks. If wedding parties or guests are arriving by boat, please make arrangements with staff in advance so that we can be sure space will be available for you on the docks.
NOISE LEVELS:
Due to our location in a residential neighborhood, we must obey certain conditions in order to be permitted to rent the facility to the public. For this reason, all rentals MUST end by midnight. Doors and windows on the side of the building facing north must be kept closed at all times during the rental. The building supervisor may monitor the music volume using a Sound Level Meter, and will ask you to turn the volume down, if necessary. Live music is permitted on Friday and Saturday rentals only.
PROMOTION/ ADVERTISING:
The St. Mary’s Boat Club is available for rental for private functions only; no publicly advertised/general admission events are permitted. The Halifax Regional Municipality has the right to prohibit use of facility by individuals and groups that may violate or promote violation of rights guaranteed under the Nova Scotia Human Rights Act, and the Canadian Charter of Rights and Freedom.
SET-UP:
Set up is the responsibility of the renter, and is allowable only on the day of your rental. Please check your contract to confirm the time you may begin setting up.
SMOKING:
The St. Mary’s Boat Club is a non-smoking facility.
The following guidelines must be met in order to receive a refund of your damage deposit…
CHAPERONES:
Adult chaperones are required at events where youths or children will be attending. One adult per 10 youth (18 and under). Staff members have been authorized to shut down an event if it is not being adequately supervised.
CLEAN UP:
Both set up and clean up are the responsibility of the renter (ie., decorations taken down, garbage disposed of, empty bottles removed from premises, all equipment removed, tables and chairs stacked, etc.). Programs and other events run daily, and require the facility to be cleaned after each rental. Any rented equipment, leftover food or alcohol, empty bottles, etc., may be left in the downstairs boathouse (with permission) but must be picked up the next morning. (Most companies/caterers do not make pick-ups or deliveries on Sundays. Saturday and Sunday renters may make arrangements to store equipment downstairs until the following Monday morning.) We kindly ask that you leave the facility in the same condition you found it.
GARBAGE DISPOSAL:
All garbage must be stored in the outside black garbage bin. All food waste must be composted in green bins provided. If waste is not properly separated, fees may be deducted from the security deposit. Please note: Dumping anything but liquids in the kitchen sink will clog the drain. Do not discard food or beverages containing straws in the kitchen sink. If a plumber is required to unclog the drain following your rental, the fees will be deducted from your damage deposit.
SHUT DOWN:
Due to our location in a residential neighborhood, all rentals must end at midnight- no exceptions. ‘Last call for drinks’ should be announced at 11:30 pm, and the last song played at approximately 11:55 pm. At midnight, the music must be turned off and clean up begun. (Staff have been instructed to take further action in renters/guests refuse to shut down.) The average amount of time required for clean up is 1 hour. After this time, a fee will be charged and deducted from your damage deposit.
To book your event, view the facility, or if you have any other questions, please call 490-4688, or visit St. Mary’s Boat Club (1641 Fairfield Road, off Jubilee) during regular business hours. Once you have made your reservation, the $300 deposit (payable by cash, cheque, debit, or Visa/Master Card/American Express) will be required to hold the date. You will receive a rental agreement (please read the details), which must be signed and returned to the St. Mary’s Boat Club. The remaining balance is due at least one month prior to the rental date. (Please note: The facility is closed during winter months. During December through March however, you may still contact 490-4688 or email clemenj@halifax.ca directly, to make a booking or to schedule an appointment to view the hall.)
CANCELLATIONS:
Please notify us as soon as possible if you wish to cancel your booking, as there may be a waiting list. Full refunds issued for Monday-Thursday rentals 30 calendar days prior to event. Full refund for Friday-Sunday rentals 3 months prior to event.
