- 1. Start with your vision
Before anything else, define your event:
- what’s the purpose? (community celebration, cultural awareness, fundraiser, etc.)
- who is your audience?
- what kind of experience do you want to create?
Having a clear concept will help guide your decisions and shape your planning. Our Events team is here to guide you through the process of planning safe experiences while allowing your creative side to shine.
- 2. Choose a location
Halifax offers a variety of parks, plazas, streets and venues for public events.
Things you should consider:
- For the venue, consider public spaces like Halifax Common, Grand Parade, DeWolfe Park or Dartmouth Waterfront.
- There are requirements for using municipal spaces. Contact our Events division to learn more.
- When planning an event, also consider accessibility, safety and transportation for your audience.

- 3. Understand the permitting process
Most public events require a permit from the municipality. You may need:
- noise exemptions
- street closure application
- tent permits
- vendor or food permits
- insurance and safety plans

- 4. Build your event team
Even small events benefit from a support team. Consider the following groups when planning your event
- organizers and volunteers
- production and technical staff
- security and first aid

- 5. Plan your logistics
Break down your event day needs:
- power and lighting
- waste and recycling
- accessibility and signage
- set-up and tear-down plans
- weather contingency plans

- 6. Promote your event
Let the community know:
- use social media, posters and community calendars
- list your event on Discover Halifax and the Halifax Events Calendar
- reach out to local media for coverage
- 7. Event execution: Be ready
You’ve done the work—now execute your plan:
- stick to your schedule
- keep your team informed and supported
- monitor safety and crowd flow
- be flexible if things shift
We recommend having an on-site contact person and a printed copy of your permits and emergency plan.
- 8. Wrap up and reflect
Post-event tasks are key to long-term success:
- clean-up and report any issues
- thank volunteers and partners
- review what worked (and what didn’t)
- submit any final reports, if required
